August 6th PTO Meeting

BES PTO Meeting

Date: Tuesday, August 6, 2019

Location: Lindsay Wright’s house

In attendance: Lindsay Wright, Tara Hays, Casey Roper, Julie Holt, Jill Justus, Jesse Hastings, Beka Nelms, Erin Mitchell, Jamie Jones

Meeting called to order at 7:43 p.m.

·     Treasurer’s Report

o  Money in: Kroger $1600; Benevity $156; $2500 Spiritwear

o  Money out: Insurance renewal $400; Headphones for library $431; school improvement (murals, teacher’s lounge) $2400; Spiritwear stock (mugs/dragons) $698

o  Items to remember before approving budget: Main fundraising goal for the year is P.E. equipment ($10,000) AND items for other related arts ($1500 each for Guidance, Music, Art and Library=$6000)

TOTAL GOAL FOR LARGE ITEM FUNDRAISING= $16000

o  Motion to approve budget by Lindsay Wright

Second by Casey Roper

·     Spiritwear

o  First round of field trip tee sales: 500 shirts ordered= $2500 profit

o  We purchased 46 for students in need

o  Another order is open through end of August

o  Will have kids sample sizes only at Back to School Bash

·     Membership

o  New form was created (directory removed, new family membership price of $20 listed)

o  Membership drive at Back to School Bash: PAID memberships that night are entered into a drawing for free family BYB tickets

o  Daily Facebook posts reminding people to join

·     Back to School Bash

o  Sign Gypsies (staying through Friday the 8th)

o  Food trucks arriving at 4:30 (CD’s BBQ, Chuy’s, Kona Ice, Dominos, Kettle Corn)

o  Membership/Spiritwear in cafeteria

·     BooHoo Breakfast is August 19th

·     Spirit Nights

o  September 7th: Summit football game (Going in with Allendale for hotdog meal tailgate, will still do free candy ticket)

o  September 24thand 26th: Wilson Family Farm (will need volunteers)

o  October 22: Culver’s (need teachers to serve)

o  November 18th: Sonic (Spring Hill)

o  Others in process: Andy’s, Wilson Family Farm in December, Tito’s, Domino’s (book fair night)

·     School Supply Preorder

o  242 boxes sold, $726 made

·     Back Yard Barbecue

o  We need a whole ‘nother meeting for this monster – date TBA

·     Miscellaneous

o  We have 520 students this year

o  No school employee is allowed to touch PTO money, so we have to purchase a metal lock box (about $200)

o  New website and email address are up and active, online store and membership now functional

o  Next meeting is August 29that 9:30 in BES cafeteria – OPEN meeting.
